About SOLM

SOLM is a nonprofit association dedicated to advancing regenerative hospitality in Cabo Verde. Through learning programs, creative practice, community experiences, and partnerships, we create pathways that connect people with culture, place, and opportunity.

Our programs bring together learners, facilitators, resident artists and professionals, community partners, and visiting guests. We are looking for a highly organized, proactive, and people-focused Program Coordinator to oversee the day-to-day execution of SOLM’s programs and ensure that our learners, activities, spaces, and experiences are well supported.

What You’ll Do

Program Coordination

  • Coordinate the day-to-day execution of SOLM’s programs and learning activities.

  • Manage program calendars, class schedules, workshops, meetings, residencies, trips, and other activities.

  • Coordinate communication between learners, facilitators, resident artists, partners, and the SOLM team.

  • Track attendance, participation, schedules, and key program information.

  • Ensure learners and facilitators receive clear and timely information about upcoming activities and any schedule changes.

  • Anticipate operational needs and identify and resolve issues before they impact program delivery.

  • Support the implementation of new programs and improvements to existing ones.

Learner & Participant Support

  • Serve as a key point of contact for learners and participants throughout SOLM programs.

  • Take care of participants during program activities and provide practical support when needs or unexpected situations arise.

  • Ensure learners feel welcomed, supported, safe, and informed throughout their participation.

  • Coordinate facilitator and instructor schedules and ensure they have the information and materials needed for their sessions.

  • Work confidently with different personalities, expectations, and working styles, using professionalism, empathy, and clear communication.

  • Help maintain a positive, respectful, and accountable learning environment.

  • Coordinate learner stipends and maintain accurate records of payments and distributions.

Learning Center Operations

  • Ensure SOLM learning centers are prepared, welcoming, and fully equipped for daily activities.

  • Regularly check that essential supplies and facilities are available and functioning, including drinking and running water, snacks and refreshments, learning materials, cleaning supplies, and other basic operational necessities.

  • Coordinate the purchase and replenishment of supplies before they run out.

  • Identify maintenance or facility issues and coordinate their resolution in a timely manner.

  • Prepare spaces ahead of classes, workshops, residencies, meetings, and program activities.

  • Ensure facilitators and learners have the equipment, materials, and resources required for each session.

  • Help maintain organized, clean, functional, and welcoming program spaces.

Residencies, Trips & Experiences

  • Coordinate logistics for SOLM’s artist, facilitator, and professional residencies.

  • Support travel arrangements, accommodation, transportation, schedules, and local logistics for visiting residents.

  • Organize program-related field trips, community visits, excursions, and learning experiences.

  • Coordinate transportation and ensure drivers, departure times, locations, and participant information are confirmed in advance.

  • Ensure residents, participants, and facilitators receive clear schedules and logistical information ahead of each activity.

  • Be available to support residents and participants with practical needs during their time with SOLM.

Events & Logistics

  • Coordinate the operational logistics of events connected to SOLM’s programs.

  • Organize spaces, transportation, materials, equipment, refreshments, participant lists, schedules, and other practical requirements.

  • Confirm that all logistical arrangements are in place ahead of each activity rather than responding to needs on the day.

  • Be present at key activities, trips, and events to support participants and ensure everything runs smoothly.

  • Coordinate with team members, suppliers, facilitators, drivers, venues, and external partners as needed.

  • Support event setup, participant arrival, delivery, and closing activities.

Administration, Stipends & Expenses

  • Maintain organized program documentation, records, schedules, and files.

  • Track program-related expenses and maintain receipts and supporting documentation.

  • Prepare and submit monthly expense reports accurately and on time.

  • Coordinate learner stipends and other approved program payments, ensuring accurate records are maintained.

  • Support basic program budget tracking and flag unexpected or additional costs.

  • Ensure purchases, transportation, stipends, supplies, and other program expenses are properly documented.

  • Maintain clear records that allow the SOLM team to understand how program funds are being used.

We’re Looking for Someone Who

  • Is highly organized and comfortable managing several moving pieces at the same time.

  • Has experience in program coordination, education, hospitality, events, community programs, project coordination, or a related area.

  • Enjoys working directly with people and is comfortable supporting learners with different personalities, needs, and expectations.

  • Has excellent communication and interpersonal skills.

  • Is proactive and notices what needs to be done without always needing to be asked.

  • Is reliable, resourceful, and solution-oriented, particularly when unexpected situations arise.

  • Is comfortable managing schedules, logistics, payments, receipts, expenses, and administrative details.

  • Is confident using digital tools for calendars, spreadsheets, documents, and communication.

  • Speaks Portuguese and English.

  • Has a valid driving licence and is comfortable driving in São Vicente.

  • Is available for occasional evenings or weekends when required for programs, trips, residencies, or events.

  • Has an interest in community, learning, culture, hospitality, sustainability, and regeneration.
